Player Terms&Conditions

Enrolment

All new players (or parents/guardians for junior players) must enrol via email before attending lessons. This ensures we can place you in the appropriate program and have everything ready before you start.

A one-off $25 enrolment fee applies to all new players. This fee covers administration and program setup and is non-refundable.

Enrolment runs on a term-by-term basis and is designed to make things easier for families. Once enrolled, your place is automatically reserved each term, so you don’t need to re-enrol or rebook every few weeks. You only need to contact us if you wish to cancel.

This applies to all our lessons.

Cancellations of Enrolment (Term Commitment)

To provide consistent coaching, stable groups, and well-planned sessions, all enrolments are committed for the full term.

When you enrol, we reserve your place, schedule coaches, and plan court usage around that commitment. To make things simple for families and players, enrolments automatically roll over each term, so you don’t need to re-enrol or rebook each time. You only need to contact us if you do not wish to continue.

  • If you don’t plan to continue into the next term, please let us know at least 10 days before the term starts

  • If we don’t hear from you by then, your place will remain reserved for the upcoming term

  • If circumstances change and you need to cancel part-way through a term, 50% of the remaining lessons will be charged

This structure allows us to plan coaching schedules, lesson groups, and court bookings fairly, while keeping your place secure without ongoing admin.

Please note that cancellations must be made in writing via email. Letting a coach know on court doesn’t count as an official cancellation.

Payments & Invoicing

Invoices are issued monthly, based on lessons attended during that month.

  • Payment is due within 14 days of invoice issue

  • A late fee of $5.00 applies to overdue invoices

  • Accounts overdue by more than 4 weeks may result in lessons being paused until payment is received

Cancelling Individual Lessons (Commitments or Sickness)

We understand that life happens and schedules can change from time to time.

Our coaches plan sessions in advance, prepare lesson content, and schedule their time specifically around booked lessons. For this reason, a 24-hour cancellation policy applies to all lessons.

  • If you’re unable to attend a lesson, please email away@jvtennis.com.au at least 24 hours before your scheduled start time

  • Lessons cancelled with more than 24 hours’ notice will not be charged

  • Lessons cancelled with less than 24 hours’ notice will be charged in full

This policy helps us respect our coaches’ time and ensure we can continue delivering high-quality, well-planned sessions for all players.

Weather

If lessons are cancelled due to weather, we will notify players or families via email.
If you don’t hear from us, the lesson is running as scheduled.

On wet days, some programs (such as Hot Shots) will run an indoor session.
Lessons cancelled by JV Tennis Academy for any reason will not be charged.

Medical Emergencies

For junior players, if a medical emergency occurs and a parent or guardian cannot be contacted, I authorise the JV Tennis Academy coach in charge to seek appropriate medical treatment.

All players participate at their own risk and release JV Tennis Academy from liability for injury or costs associated with participation in any programs or events.

Photos & Videos

Photos and videos may be taken during lessons and events for marketing and promotional purposes, including use on our website and social media.

If you do not wish to be included (or do not wish your child to be included), please notify us in writing.

Behaviour

To maintain a safe, positive, and respectful environment, JV Tennis Academy reserves the right to exclude any player from a session or program if:

  • Behaviour is unsafe or disruptive

  • Behaviour toward coaches, staff, or other players is inappropriate or disrespectful

This applies to both players and parents/guardians where relevant.

Before & After Lessons

Players are responsible for their own conduct before and after lessons.
Parents or guardians remain responsible for supervising junior players immediately before and after sessions.

When waiting at club facilities, all club policies apply.
JV Tennis Academy may exclude players from programs if behaviour causes disruption or damage to club property.
