Player Terms&Conditions
Enrolment & Enrolment Cancellation
All new players must enrol via email before attending lessons. Once enrolled, all players are committed for the full term.
Your place is automatically reserved each term, so you don’t need to re-enrol or rebook every few weeks. You only need to contact us if you wish to cancel.
This applies to all our lessons.
Not continuing next term?
If you don’t plan to continue into the next term, please let us know via email to admin@jvtennis.com.au at least 4 weeks before the new term starts.
Cancellations must be made in writing via email. Please note that informing a coach on court does not count as an official cancellation.
Forgot to let us know?
Cancellations made up until the end of the 2nd week of term will incur a 50% term fee.
Cancellations made after the first two weeks of term will incur the full term fee. In this case, players are welcome to continue attending their scheduled classes for the remainder of the term.
Payments & Invoicing
Term fees are based on the number of scheduled lessons in that school term and are invoiced upfront for the full term. Invoices are sent out automatically 3 weeks before the new term starts. Payment is required by the due date shown on your invoice to secure your place.
Payments are accepted via bank transfer, all details are provided on the invoice.
If payment has not been received, JVTA reserves the right to release the player's place or suspend participation until payment has been made.
Make-Up & Lesson Cancellation Policy
If you are unable to attend a session due to illness or school camp etc. you must notify us in writing via email to away@jvtennis.com.au prior to your lesson with sufficient time in order to be eligible for a make-up lesson.
Sufficient time is considered;
AM lessons – 6 pm the night prior
PM lessons – 9 am of the day of the lesson
We allow for 1 make-up lesson per person each term for group lessons when the appropriate notice is given.
All private & semi-private lessons cancelled will be made up when appropriate notice is given.
Notification of absence and/or arrangement of a make-up has to be in writing via away@jvtennis.com.au - it is your responsibility to arrange a make-up.
You will be given up to three different options during the same term, including weekends or during the school holiday period.
Make-up’s can not be carried over to the following term. JVTA will make every effort to accommodate a suitable day & time.
All washed out or heat policy sessions missed will be made up and the JVTA coaching team will contact you with the day & time options.
For any long-term injury, illness or absence please contact us directly.
Weather
Some programs (such as Hot Shots/junior group lessons) will run an indoor session and are no subject to make-up sessions.
If you do not get a call, text, or email, the lesson is going ahead as normal.
JVTA’s Heat Policy is that if the temperature reaches higher than 37 degrees at the time of your sessions, then the session may be postponed and a make up lesson arranged.
*JVTA has a policy for all coaches to avoid the use of Phones while on court coaching (where possible), this is to make sure our attention is directed to the current lesson at all times. If your coach does not answer their phone, they are more than likely on court coaching and lessons are going ahead.
If it is a washout we will contact you via email.
Medical & Liability
I hereby authorise the staff of JVTA to act for me according to their best judgment in any emergency requiring medical attention. I release JVTA from any and all liability for injury or illness and costs, incurred while undertaking a program or event.
Behaviour
To maintain a safe, positive, and respectful environment, JV Tennis Academy reserves the right to exclude any player from a session or program if:
Behaviour is unsafe or disruptive
Behaviour toward coaches, staff, or other players is inappropriate or disrespectful
This applies to both players and parents/guardians where relevant.
Before & After Lessons
Players are responsible for their own conduct before and after lessons.
Parents or guardians remain responsible for supervising junior players immediately before and after sessions.
When waiting at club facilities, all club policies apply.
JV Tennis Academy may exclude players from programs if behaviour causes disruption or damage to club property.
